Privacy Policy - the basics

1. Information Collection

Clearly state what kind of data you collect. For an NGO, this usually includes:

  • Identity Data: Name, date of birth, and gender.

  • Contact Data: Email address, phone number, and physical address.

  • Donation Data: Payment details (though usually processed via secure third-party gateways) and donation history.

  • Volunteer Data: Educational background, skills, and availability.

2. Purpose of Use

Explain why you need this information. Common reasons include:

  • Processing donations and issuing tax-exempt receipts.

  • Sending updates on projects and impact reports.

  • Coordinating volunteer activities or community events.

  • Complying with legal and regulatory requirements (e.g., NGO audits).

3. Data Sharing & Third Parties

Be transparent about who else sees the data.

  • No Sale Policy: Explicitly state that you do not sell or rent personal data to third parties.

  • Service Providers: Mention if you use third-party tools for newsletters (like Mailchimp) or payment processing (like Razorpay or PayPal).

  • Legal Necessity: State that data may be shared if required by law or government authorities.

4. Security Measures

Describe the steps you take to keep data safe:

  • Use of SSL encryption for online forms.

  • Restricting access to personal data to only authorized staff or board members.

  • Secure storage of physical documents (e.g., locked cabinets).

5. User Rights (The "Right to be Forgotten")

Give individuals control over their data:

  • Opt-out: Provide a clear way to unsubscribe from newsletters.

  • Access/Correction: Allow users to request a copy of their data or ask for corrections.

  • Deletion: Explain how a user can request that their data be removed from your records.

A Simple Template Clause

Data Protection: JPKS is committed to protecting your privacy. We collect information solely to facilitate our social welfare programs and keep our supporters informed. We implement industry-standard security protocols and will never share your personal details with outside marketers.

Important Considerations

  • Local Laws: Ensure your policy complies with regional regulations, such as the Digital Personal Data Protection Act (DPDPA) in India or GDPR if you have international donors.

  • Accessibility: Keep the language simple. Avoid overly dense legal jargon so that every donor and student you work with can understand it.

  • Contact Info: Always provide a specific email address or phone number for "Privacy Inquiries."
